P2 Microsoft's Enrollment for Education Solution


P2 Approve the Agreement with Microsoft Corporation for Microsoft's Enrollment for Education Solution (ESS)

The Microsoft's Enrollment for Education Solution (EES) is a new, simplified and cost-effective way of acquiring Microsoft software for all of the District's 174,000+ students and staff.  Moving to EES will guarantee license compliance with Microsoft for all District owned computers. The products in this Agreement will be purchased through Software House International Corporation (SHI), an authorized reseller for Microsoft products, who offers an additional discount to the School District.  This Agreement also includes software upgrades, as needed, and allows District employees free home-use while performing District work

  • EES is designed by Microsoft for K-12 and higher education.  The pricing structure is based on an annual count of employees rather than a per computer cost.
  • EES will lock in the annual pricing for the three year Agreement. The Agreement includes all Microsoft software such as Windows, Office, SharePoint, etc., which runs on all of the District's 75,000+ computers.  It will cover all existing, new, refreshed, and upgraded District-owned computers.
  • Currently, this agreement is used by other Florida School Districts including:  Miami-Dade, Broward, Orange, Volusia, St. Lucie, Martin, Indian River, Florida Virtual Schools, Lee, Collier, Okeechobee, Glades, Hendry, Monroe, St. Johns, Pasco, Alachua, and Flagler.
  • Based on historical data, it is estimated that in past years, the annual spend for the computer refresh project which served only new computers (5,000+), cost the District approximately $55,000 more than the annual cost of the Microsoft Solution which will benefit all students and staff's District owned Computers (75,000+). 
  • The Agreement for EES will save the District an estimated $768,984 for FY12.

The Technology Advisory Committee, at its November 2nd meeting, gave its unconditional and unanimous support for purchasing EES.



I recommend the approval of the Microsoft Enrollment for Education Solution for a period of three years and authorize the Superintendent and School Board Chair to sign all related documents.
